Reserving a Room
In November 2007, it was determined that a portion of the Graduate Residential Center (GRC) will remain open for another year in anticipation of new graduate/professional student housing being available for the fall of 2009. Graduate/Professional housing at the GRC will be limited to the F, G, and H wings with only a limited number of unfurnished units available. The E wing of the GRC will become undergraduate (Junior/Senior only) student housing.

Renewals will start February 1, 2008.

Beginning Sunday, May 31, 2009, the Graduate Residential Center will no longer house graduate/professional students within this facility. Leases offered for the 2008-2009 academic year will terminate on or before Sunday, May 31, 2009. Applicants/resident should not plan to reside within this housing facility after this date.

Below is important information for current residents of the GRC - your plans and needs should be addressed in one of the following categories:

Live in the E wing and Wish to Change Lease End Date & Renew
Current residents of the E wing who wish to continue to live at Clairmont Campus throughout the summer and the 2008-2009 academic year will need to plan to relocate to the F, G, or H wing of the GRC. All moves must be completed before Sunday, June 15, 2008. Every effort will be made to relocate you to a similar unit.

If you would like to renew, please send your request to housinghelp@learnlink.emory.edu, with the following information:

• Your full name
• Your student ID number
• Your current apartment assignment (apartment type, building, room, and bedroom)
• One (1) sentence stating you wish to renew
• Any information you wish for our office to consider regarding your new apartment assignment (remaining with a roommate, building preference, etc.)

New apartment assignments will begin to be made on Wednesday, March 19, 2008, following the renewal deadline for current F, G, and H residents. Apartment offers will be forwarded to residents via email. As assignments are accepted, our scheduling of move/move dates will occur.

After you have accepted an assignment you may need to sign up to three (3) Leases: one Lease for the period between your current Lease and Sunday, June 15, 2008; one Lease which is from Monday, June 16, 2008 through Monday, June 30, 2008; and a Lease beginning Tuesday, July 1, 2008 to your Lease end date. Leases will be available to you at the Clairmont Campus Community Office.

Live in the F, G, or H wing and Wish to Change Lease End Date & Renew
As a resident of an apartment within the F, G, or H wing, if you wish to change your lease end date and renew — defined as continuing to live in the specific room you are currently residing in with no bedroom or room type changes — you will be required to sign two (2) Leases: one to extend through the summer months, the other for the 2008-2009 academic year. Requests for Lease extension and renewal should be sent to housinghelp@learnlink.emory.edu, including the following information:

• Your full name
• Your student ID number
• Your current apartment assignment (building, room, and bedroom)
• One (1) sentence stating you wish to extend your Lease for renewal

Following receipt of your request, you will be contacted via email when your Leases are ready for your signature. You will need to sign one Lease for the term of Sunday, June 1, 2008 through Tuesday, June 30, 2008 and a second Lease commencing Tuesday, July 1, 2008 and ending on either Sunday, May 17, 2008 or Sunday, May 31, 2009. Leases will be available to you at the Clairmont Campus Community Office.

Please know your end date selection before coming to sign your Lease. The deadline for extension/renewal requests is Friday, March 14, 2008.

Please note that these extension requests are for those who wish to extend to renew only. If you wish to extend and renew but change bedrooms or apartment type, please note that requests for a change will not be able to be processed until after the Lease renewal period is over on Friday, March 14, 2008. If you wish to pursue making a change, you may proceed in one of two ways:

• You may renew as described above and put in a request to change. This action would secure your current assignment in the unlikely event a change could not be made.
• You may submit a request to change and renew. These requests will not be processed until the week of March 17, 2008 and you will be notified if a change can be made. Only select this option if you plan to vacate if your change is not accommodated.

Change requests should be sent separately to HousingHelp@learnlink.emory.edu and should include:

• Subject line of email should state either "request to change" or "request to change and renew"
• Your full name
• Your student ID number
• Your current apartment assignment (building, room, and bedroom)
• Complete information on the change you wish to make (type of apartment, bedroom, etc.)

Live in the E wing and Wish to Extend
Current residents of the E wing may be offered the opportunity for short extensions but there is no guarantee of housing beyond Saturday, May 31, 2008. You may submit a request for an extension by sending an email to housinghelp@learnlink.emory.edu which should include:

• Subject line of email should state "request to extend"
• Your full name
• Your student ID number
• Your current apartment assignment (building, room, and bedroom)
• The specific date(s) of your extension request and the rationale of your need to extend

Do not anticipate that we will be able to offer you the opportunity to extend. Residents who submit an extension request will be notified via email no later than Friday, March 28, 2008.

Live in the F, G, or H wing and Wish to Extend
Current resident of the F, G or H wing may be offered the opportunity for short extensions but there is no guarantee of housing beyond Saturday, May 31, 2008 as accommodation will be underway for the move of residents from the E wing. You may submit a request for an extension by sending an email to housinghelp@learnlink.emory.edu which should include:

• Subject line of email should state "request to extend"
• Your full name
• Your student ID number
• Your current apartment assignment (building, room, and bedroom)
• The specific date(s) of your extension request and the rationale of your need to extend

Do not anticipate that we will be able to offer you the opportunity to extend. Residents submitted an extension request will be notified via email no later than Friday, March 28, 2008.

Live in the E, F, G, or H wing and Plan to Vacate at the end of your Current Lease (May 18 or 31)
If you plan to vacate your apartment at the end of your Lease, please remember that you are expected to provide 30-days notice of your vacate date by submitting an Intent to Vacate form to the Clairmont Campus Community Office. You will be receiving further information directly from the Community Office regarding this requirement. It is imperative that you vacate on the date you provide as we anticipate tight turn-around times for students that are relocating to new apartments.

Live in the GRC and Plan to Vacate at the end of your Current Lease (May 18 or 31) BUT Wish to REAPPLY to Return in the Fall
Returning residents who do not renew and live within the GRC through the summer will be considered new applicants. Housing assignments are made individually, based upon application information provided. Assignments are not guaranteed.

New assignment priority for available apartments within graduate/professional student housing for the 2008-2009 academic year is as follows:

1. Incoming international students
2. Students with special needs as verified through the Office of Disability Services
3. New graduate/professional student applicant

Within these groups, priority is based on requested occupying month and date: assignments for May will be made first, followed by June, and so forth.

New apartment/bedroom assignments will begin to be made on Tuesday, April 15, 2008, continuing every Tuesday and Friday until all apartments have been assigned and accepted. Once every unit has been assigned, a wait list for graduate housing will begin to be generated.

When an assignment has been made for you, the timeline below will be followed:

1. Notification will be sent via email (utilizing the address provided on the application) offering an apartment assignment.
2. Assignees will have 72-hours/three working days to respond to the assignment offer.
3. If the assignment is accepted, the Lease Agreement will be mailed out to you.
4. The Lease Agreement should be signed and returned as quickly as possible, along with the $300 reservation fee. Both items must be submitted to secure your assignment.

We will do our best to fulfill requests concerning the type of apartment to which you have been assigned but please keep in mind that housing is limited; we may need to offer you your second or third choice. If you are not satisfied, or unhappy with your assignment, we hope you will approach the situation with a positive attitude and you may request a room change.
