Requesting a J-1 visa eligibility document for a student

Important policy regarding J-1 Non-Degree students!

General Procedure

  • Verify admission of student
  • Determine eligibility for a J student visa: Hosting an Exchange Visitor
  • Use the J-1 Exchange Visitor Information Form to gather information from the visitor.
  • Create request forms. These are Word-based forms that you can fill out and save to your computer, and print:

  • Please include documentation (as detailed below) in your packet
  • Once complete submission packet (hard copies) has been received and the depratment has entered the student into Peoplesoft (OPUS), the J-1 student DS 2019 can be created
  • ISSP will notify Department in cases of missing information
  • We ask for 10 business days for issuance of requested form and creation of pre-arrival packets and departmental letters.
  • Department will be advised when packets are ready for pick-up. We highly encourage FEDEX or DHL delivery of these U.S. Federal documents.

Supporting documents

Items that need to be turned in to the ISSP to process the J-1 request: (All supporting documents must have accompanying English translations.)

  • Hard copy of the request forms, above
  • Completed Compliance Form with the signatures of the departmental contact of the prospective student, departmental chair, and Dean of the school. The signatories must read the checklist of responsibilities of the department, and fill in the line about English proficiency. Use the Compliance Form as a cover sheet for the all the paper documentation submitted.
  • The departmental contact/dean of the prospective student must provide a brief statement that the Exchange Visitor has the necessary language proficiency to successfully pursue program, and what assessment method was used.
  • Evidence attesting to student's credentials, such as:
    • Copy of a diploma for an advanced degree relative to student's anticipated program, or
    • Copy of transcripts from student’s current school in his/her home country. Substantial financial support must be provided by the institution or organization rather than the student him- or herself.
  • Financial support cannot be only personal / family funds. Evidence of financial support from Emory or an external source must total at least the amount specified for one academic year of the student’s program of study. The amount required to be shown is specific to the program and the school. Please contact the appropriate international student advisor for the amount.
  • Legible copy of passport biographic page(s) (include dependents' also if applicable and available).
  • If the prospective student has been in the United States in J status within the past two years, all copies of prior Forms DS-2019 must be submitted.
  • Copy of acceptance letter from the school.
  • Letter describing the details of the J-1 non-degree student’s proposed activities. Please include the following in the description:
    • Department name and contact information
    • Type of program: i.e., student will participate in a non-degree academic program
    • Specific educational objective
    • Minimum educational requirements
    • Summary of activities: whether or not student will enroll full-time in coursework; any observation/internship/practicum component to be conducted prior to/during/after semester during which student was enrolled full-time; dates, location, and departmental contact during which each type of activity will be carried out.
    • Desired outcome of the course of study
    • Method of evaluation
