VEHICLE POLICIES AND PROCEDURES

USE OF EMORY OWNED, LEASED OR RENTAL VEHICLES

Before driving an Emory owned, leased or rental vehicle, please review Emory University and Healthcare’s policies and procedures.

These requirements include:

Employee must be at least 18 years of age, have at least two years of driving experience and possess a valid driver’s license for the class of vehicle to be driven.  Providers of leased and rental vehicles may require a higher minimum age limit; check with the leasing and rental company.

Requirements for drivers of Emory owned, leased or rental vehicles include:

·         Emory will obtain an MVR check every two years for all employees who drive Emory vehicles

·         Employees will be required to successfully complete the Emory Defensive Driving Course every three years

·         Employees must apprise management of driving or license violations

·         Hiring departments are responsible for maintaining the driving records of their employees

What to do if you are involved in an auto accident involving Emory owned,  leased or rental vehicles.

Assist any injured parties in obtaining appropriate medical care.

Report the accident to the appropriate police department.  If on campus, this would be the Campus Police.  If the accident occurs elsewhere, the appropriate police department must be notified.

Obtain the following information at the scene of the accident:

·         Exchange the information with the other party.  Obtain their name, phone numbers, insurance information, type of vehicle, etc.

·         Obtain the name and contact information of any witnesses

·         Obtain the name of the police department investigating the accident and information on how police report may be obtained

Please immediately report all accidents to Andrene Austin-Foster.  If you need immediate assistance, you may call Risk Management by paging the Risk Manager on call or by calling (404) 686-5500 and entering PIC # 50316.  In order to process your claim in a timely manner, Andrene will need the following information:

·         Name and contact information for the employee or student driving the Emory owned, leased or rental vehicle

·         Name and phone number of the driver’s department manager

·         Year, vehicle identification number, Make & Model of the vehicle

·         Name of any passengers

·         Name of any injured parties

·         Pertinent information for the other vehicle/vehicles including the name of the driver, the name of the vehicle’s owner, their phone numbers, addresses, insurance company etc.

·         Police report or case number on police report

At the time of the accident, Andrene will request confirmation that the department has a recent MVR for the Emory driver and confirmation that he/she has completed Emory’s defensive driving class.

The driver’s department will be responsible for the physical damage deductibles as follows

Comprehensive $1,000 – Buses and Heavy Trucks

Collision $1,000 – Buses and Heavy Trucks

 

Comprehensive $ 500 – All other vehicles

Collision $500 – All other vehicles

 

Hired auto primary (Rental)

Comprehensive $100

Collision $1,000
