- Notify Risk Management by paging the Risk Manager on Call by Calling
404-686-5500 and entering PIC #50316
(RISK MANAGEMENT WILL CALL THE INSURANCE CARRIER)
Be prepared with the following information:
- Location of event, including street address
- Date and Time of event
- Cause of Loss (Be sure to save any evidence if available)
- Description of damage
- Contact names and phone numbers (FMD, departments, etc)

Note:
If the damage exceeds (or approaches) $25,000, Risk Management will assist
in coordinating the claim. If the damage is less than $25,000, the repairs
will usually be managed by FMD and financed by the department.
Note:
Facilities Management (FMD) will manage the immediate response to the property
event. Please cooperate as they work to minimize damage and disruption by
following these steps.
CONFIRM THAT THE PROPERTY IS SAFE TO ENTER and PROTECT
THE PROPERTY FROM FURTHER DAMAGE
If possible, move undamaged property to other areas.
Otherwise, cover with plastic or other material that is available.
Fix leaking pipes if safe and possible
Do not allow onlookers, visitors, or other staff to enter the area

TAKE PHOTOGRAPHS OF THE DAMAGE IF POSSIBLE.
AFTER THE EMERGENCY
- DON’T authorize permanent repairs without the involvement of
Risk Management and/or Facilities Management.
- Be sure and save all receipts, invoices, and other documentation
of the event and the repairs.
- One person from the department should be in charge of accumulating
the figures and documentation…this person should work very closely
with risk management.
- Coordinate fully with the insurance adjuster assigned to the case. Too
much information is better than not enough.
- ASK Questions…Risk Management will answer your questions or
refer you to someone who can address your concerns. We are here to
help you, and to protect the interests of your employer.
PROPERTY LOSS PREVENTION STATEMENT
- Physical protection refers to the capabilities of a building or equipment
that helps reduce the severity of a potential loss condition, i.e.,
automatic sprinklers, firewalls, fire doors, etc. Decisions on physical
protection are reached through an identification and evaluation process
that considers a number of factors including, but not limited to, construction
materials, occupancy, size, height, location, age of the property and
regulatory and insurance requirements. The process draws upon the contributions
of a number of individuals including, but not limited to, representatives
from facilities management, risk management, fire safety, the property
insurance carrier and the insurance consultant.
Emory's philosophy is to design, build, and maintain facilities in accordance
with current regulatory and reasonable insurance company requirements
- Human elements refer to a collective body of defined loss reduction
procedures that apply to employees, students, patients, visitors, and
contractors. Examples of human elements include, but are not limited
to, hazard assessment evaluation, fire protection equipment inspection
and maintenance, fire protection impairment management, hot work training,
contractor management, smoking policies, housekeeping policies, and
emergency procedures.
Emory recognizes that human element programs designed to meet the specific
needs of an organization, which are fully endorsed by senior management
and understood and adopted by all employees, can be effective in reducing
the probability of a potential loss. Therefore, Emory hereby commits
to establish a Human Element Program to be developed jointly by the facilities
management, risk management, and fire safety departments, with assistance
from the property carrier and the insurance consultant.
Emory stands committed to improving property loss prevention system
wide and believes that every employee has a critical role in this initiative.
The Office of Risk & Insurance Services will be held responsible
for monitoring and reviewing PLP on a regular basis, with cooperative
input feedback from facilities management and fire safety. Working in
this cooperative fashion, Emory’s PLP program can and will become
a "living" program that forms an integral and fundamental part
of our system.
