The following pages contain information that will help you navigate the check in and check out process, as well as some useful information for your stay with us. Please read through the information prior to your arrival so you know what to expect. We look forward to meeting you this summer!

All residents may check in during the following office hours:

Monday - Friday | 8 am - 8 pm
Saturday - Sunday | 12 noon - 5 pm

If you need to make arrangements for an after-hours arrival, you must notify the SIHP Manager at least two weeks in advance to ensure proper staffing.

Check-in will be held in the SIHP office on the entry level of the Clairmont Tower on the Clairmont Campus.

> DIRECTIONS TO CLAIRMONT CAMPUS

When arriving, please park in the circle outside the Tower until you are issued your parking pass. You must register the license plate number and valid driver's license on your SIHP account to receive a parking pass.

Please move your vehicle as soon as you have completed the check-in process. The parking decks are connected to the apartment buildings, and you may unload in there. Moving trucks may not fit into the parking decks.

Residents are required to make their first payment by 5pm the evening before their check in. The minimum amount due is the rent total for nights through July 1st (if arriving after June 30th, the entire balance is due upon arrival). You may pay for your entire stay upon arrival, or defer the July/August balance until July 1st. You may pay with Visa, Mastercard, AMEX, or Discover, but we cannot accept cash or checks for any amount.

Upon paying, you will receive an apartment key, building entrance card (that also allows access to the Student Activity and Academic Center), a parking pass, an information sheet including a link to the Resident Arrival Report, and internet access information. All bedrooms are private, and you will be the only resident with a key that opens your bedroom. Please be careful with these items during your stay; do not lose them. There are charges for any lost keys or unreturned items upon checkout.

Finally, the Resident Arrival Report is an important form that documents the condition of your apartment at the time of move in and will be used to assess damages to the apartment at the time of checkout. It is imperative that this form be filled out completely and thoroughly. You will have 48 hours to complete this report and submit it to the SIHP Manager.

WHAT TO BRING

The following is a list of items residents typically bring with them when they come:

  • Full-size sheet set and pillows
  • Toiletries and towels
  • Dishes, glasses, and silverware
  • Dish and laundry detergent
  • Clothing
  • Iron and ironing board
  • Television with cable
  • Computer*
  • Stereo
  • Alarm clock

Certain items, including pets, are not permitted in our residential buildings. Please review the list of prohibited items in the “Prohibited Items” section of the Terms and Conditions in the SIHP License  (located in your SIHP Iris account).

Residents with computers must have an Emory-issued username and password to access the Emory network. Residents will receive a special username and password at check-in. Instructions on accessing the network will be given with the username. Computers may need to be scanned or inspected before being allowed on the network. Emory no longer offers Ethernet connection.

ACCESSING THE INTERNET

Emory Library and Information Technology Services (LITS) offers wireless internet support to summer interns with computers running Windows Vista, 7, and 8 and Mac OS 10.6 and higher. If you have a computer running Windows XP or Mac OS 10.5 or lower, Emory has limited resources to assist you and you may have difficulty connecting to the wireless network. OIS is retiring their support for those systems summer 2013. We strongly encourage interns to bring machines running at least Windows Vista or Mac OS 10.6.

SIHP staff will be present at your check-in to assist you with any questions you may have. Housing staff is not allowed to carry any personal belongings, but hand trucks are available for your use to move your items into and out of your apartment. Hand trucks may be checked out from the Student Activity and Academic Center with photo identification.

Residents must check out and return all housing items (keys, building access card, parking pass, etc.) on or before their scheduled departure date in order to avoid additional charges. Please refer to the SIHP License (located in your SIHP account) for most updated prices for lost keys and parking passes.

Check out can happen at any hour of the scheduled departure date. To properly check out, please bring your key, card and parking pass to the SIHP office. Pick up the SIHP Express Form, fill it out in its entirety, place your keys and parking pass in the envelope, and return them to the office. If the office is closed, you may slip it in the mail slot of the door. Please try to put your name on the envelope, in case it gets separated from your Express Form.

Do NOT check out until you have completely moved out of your apartment. If you return your items and continue to move out, you may be charged an improper check out fee or for the additional night(s) you or your items remain in the apartment. A staff member will perform the check out inspection shortly after you check out, even if other residents occupy the rest of the apartment.

Any items left in the apartment will be removed or thrown out. It is important to leave the apartment in the condition you received it. Please ensure you clean your bedroom and any common areas you used, including the bathroom. Vacuums are available to check-out at the Student Activity and Academic Center.

If our office does find the need to charge for improper check-out, damages, or additional cleaning, the SIHP Manager will email you within a week of your departure. If there are no charges, you will not receive an email.

You may add additional nights to your stay as long as it is within the program dates. Please send a written request to add nights to the SIHP Manager. The SIHP Manager will add the nights to your stay and send you the bill for the additional nights. You will need to make payment for those nights within 48 hours of receiving the bill.
